Use report data directly rather than extracting it from PDFs later.

When a PDF is not enough for downstream processes

A PDF is well suited to archiving a report in a readable and traceable format. However, the information it contains is not automatically available to other systems as structured data. If the document reference number, customer details, date, amount, or other information is needed again later, it often has to be extracted from the document, copied, reformatted, or captured using OCR.

Metadata Export makes the selected information available as an XML file at the time of archiving. This keeps the report and its data linked while allowing each format to serve a different purpose. The PDF is human-readable, while the XML file can be processed by systems.

What changes in day-to-day operations:

Selected report information is already available in a structured format. This eliminates the need to manually extract, copy, and reformat this data.

The export can be adapted to new requirements

Fields, mappings, and XML tags can be modified or extended. This allows the XML structure to be adapted to new applications, integrations, and process requirements.

The data structure is tailored to your requirements

You determine which fields are exported, what the XML tags are called, and how the data is structured for downstream systems.

Downstream processes use a consistent data source

The XML data can be incorporated into workflows, analysed using BI tools, or transferred to other systems via interfaces.

How Metadata Export works:

Select the required report data

You specify which information should be exported from the tables linked to the report.

2.

Define the XML structure

The selected fields are mapped to the required XML tags. This creates a structure that fits your existing workflows and downstream systems.

3.

Archive the PDF and XML together

When the report is archived, a structured XML file containing the selected information is saved alongside the PDF. Both files are archived together in Microsoft Azure Storage.

4.

Use the data in downstream processes

The XML file is then available for workflows, analysis, BI tools, interfaces, third-party systems, or future migrations.

Why is an archived PDF often not enough?

A PDF is useful when a document needs to be archived in a readable and traceable format. However, it is only of limited use for automated downstream processing. Information such as the document reference number, customer, date, or amount may be contained in the document, but it cannot be readily used by other systems. This is where Metadata Export comes in. In addition to the PDF, the relevant report data is saved as a structured XML file. This means the information remains visible while also being machine-readable and ready for direct use in downstream processes.
