Metadata Export for Microsoft Dynamics 365

Use report data directly rather than extracting it from PDFs later.

When a PDF is not enough for downstream processes

A PDF is well suited to archiving a report in a readable and traceable format. However, the information it contains is not automatically available to other systems as structured data. If the document reference number, customer details, date, amount, or other information is needed again later, it often has to be extracted from the document, copied, reformatted, or captured using OCR.

Metadata Export makes the selected information available as an XML file at the time of archiving. This keeps the report and its data linked while allowing each format to serve a different purpose. The PDF is human-readable, while the XML file can be processed by systems.

What changes in day-to-day operations:

Data no longer needs to be transferred from the PDF

Selected report information is already available in a structured format. This eliminates the need to manually extract, copy, and reformat this data.

The export can be adapted to new requirements

Fields, mappings, and XML tags can be modified or extended. This allows the XML structure to be adapted to new applications, integrations, and process requirements.

The data structure is tailored to your requirements

You determine which fields are exported, what the XML tags are called, and how the data is structured for downstream systems.

Downstream processes use a consistent data source

The XML data can be incorporated into workflows, analysed using BI tools, or transferred to other systems via interfaces.

How Metadata Export works:

Select the required report data

You specify which information should be exported from the tables linked to the report.

Define the XML structure

The selected fields are mapped to the required XML tags. This creates a structure that fits your existing workflows and downstream systems.

Archive the PDF and XML together

When the report is archived, a structured XML file containing the selected information is saved alongside the PDF. Both files are archived together in Microsoft Azure Storage.

Use the data in downstream processes

The XML file is then available for workflows, analysis, BI tools, interfaces, third-party systems, or future migrations.

Why is an archived PDF often not enough?

A PDF is useful when a document needs to be archived in a readable and traceable format. However, it is only of limited use for automated downstream processing. Information such as the document reference number, customer, date, or amount may be contained in the document, but it cannot be readily used by other systems. This is where Metadata Export comes in. In addition to the PDF, the relevant report data is saved as a structured XML file. This means the information remains visible while also being machine-readable and ready for direct use in downstream processes.

Standalone or flexibly combined

Metadata Export, Drag & Drop, and Document Archiving can be used individually or combined flexibly.

This creates an archiving solution that adapts to your requirements, streamlines day-to-day processes, and remains transparent and traceable at all times.

Metadata Export

Structured, machine-readable data for today and tomorrow

Alongside the PDF, Metadata Export generates a structured XML file containing the relevant report information and archives both files in Microsoft Azure Storage. This makes the content available both as a visual document for users and as a machine-readable data source for interfaces, workflows, analytics, and third-party systems. + PDF and machine-readable data available together + Centralised access to documents and associated data + Easy integration with third-party systems + Support for BI, reporting, and analytics solutions + Basis for workflow and process automation + Improved data quality and more efficient processing + Ideal starting point for data warehouse, AI, and integration projects

Drag & Drop

Quick and easy archiving

Files such as E-Mail correspondence, PDFs, and external documents can be dragged and dropped directly into the relevant form in Microsoft Dynamics 365 F&SCM. They are then archived automatically in Microsoft Azure Storage. + High user acceptance thanks to simple, intuitive handling + Fast archiving of additional documents + Complete documentation of all business-relevant documents + Centralised storage of all relevant documents, including external files + Less time spent searching for files + Greater transparency + Extends automated archiving to include manually added documents

Document Archiving

Secure, centralised, and available at any time

With Document Archiving, supported reports such as sales invoices are automatically generated as PDFs and stored securely in Microsoft Azure Blob Storage. The solution is seamlessly integrated with Microsoft Dynamics 365 and runs automatically in the background. This reduces manual effort and provides a centralised, scalable archive. + Reduced manual archiving effort + Centralised and secure document storage + Support for audit-compliant archiving processes + Faster access to documents + Enables further cloud-based and automated processes + Use of existing Microsoft Azure infrastructure

Our products extend Microsoft Dynamics 365 with additional functionality. They are certified by Microsoft and available directly through Microsoft Marketplace.

Identify which report data will be needed later

Together, we determine which information from your reports is relevant for analysis, workflows, interfaces, migrations, or other downstream processes. The XML structure can then be defined to suit your existing workflows and system requirements.

MCP Could Change How AI Talks to Your ERP

MCP is a standard way for AI systems (called agents) to connect to business tools, data, and systems like ERP. Instead of building a new integration every time, MCP provides a shared “bridge” between AI and business systems. For ERP systems, this is a big step forward.
